Financial Literacy for Tomorrow

Privacy Policy

Last Updated: February 2025

We understand that sharing personal information requires trust. This policy explains what we collect, why we need it, and what we do with it. We're not lawyers writing this for lawyers—this is meant to be clear and honest about how we handle your data.

Who We Are

Cognizant Energy operates as a budget planning education platform based in South Korea. We help people understand their finances better through learning programs and resources. Our office is located at 9-2 Dong-gu, Gwangju, and you can reach us at help@cognizantenergy.com or +82533210626.

When we say "we," "us," or "our" in this policy, we're talking about Cognizant Energy. "You" means anyone using our website or services.

Information We Collect

We only collect what helps us provide better service or what we're required to keep by South Korean law. Here's what that looks like in practice:

Account Information

Name, email, and phone number when you create an account or contact us. We need this to communicate with you and manage your learning progress.

Learning Data

Course progress, quiz results, and completion records. This helps us understand what's working and where you might need additional support.

Technical Information

IP address, browser type, device information. Standard stuff that helps us keep the site running smoothly and secure.

Communication Records

Messages you send us through contact forms or email. We keep these to provide support and improve our responses over time.

We don't collect financial account details, social security numbers, or sensitive personal data beyond what's listed above. If we ever need additional information, we'll ask permission first and explain exactly why.

How We Use Your Information

Everything we collect serves a specific purpose. We're not interested in building profiles to sell or using your data for anything unrelated to our education services.

  • Providing access to learning materials and tracking your progress through courses
  • Sending program updates, course reminders, and important account notifications
  • Responding to your questions and providing technical support when needed
  • Improving our content based on how students interact with different materials
  • Complying with South Korean data protection and business regulations
  • Preventing fraud and maintaining platform security for all users

We don't use your information for automated decision-making or profiling. Any communication you receive from us is either essential (like password resets) or educational content you've opted into receiving.

Data Sharing and Third Parties

We don't sell your information. Period. But we do work with some service providers who help us operate the platform. These relationships are limited and carefully managed:

  • Email service providers who help us send course updates and respond to inquiries
  • Cloud hosting services that store our platform data securely
  • Analytics tools that show us how people use the site (we use privacy-focused options)
  • Payment processors if you enroll in paid programs (they handle transaction data directly)

Each third party we work with signs agreements limiting what they can do with your data. They can only use it to provide their specific service to us, and they can't share it with anyone else.

We might share information if required by South Korean law enforcement or legal proceedings, but we'll notify you unless prohibited from doing so. We've never received such a request as of February 2025.

Data Storage and Retention

We keep your information only as long as necessary. This varies depending on the type of data and why we collected it:

Retention Periods

Active Accounts: Data retained while your account is active and for 12 months after your last login
Course Records: Learning progress and completion certificates kept for 3 years after program completion
Communication Logs: Support inquiries and correspondence maintained for 24 months
Financial Records: Transaction data retained for 5 years per South Korean tax law requirements
Technical Logs: Server logs and security data kept for 90 days unless needed for investigations

After these periods, data is either permanently deleted or anonymized so it can't be traced back to you. We conduct quarterly reviews to ensure we're not holding onto information longer than needed.

Your Rights and Control

Under South Korean data protection laws, you have significant control over your personal information. These aren't just theoretical rights—we've built systems specifically to honor these requests:

What You Can Do

  • Request a copy of all personal data we hold about you, delivered in a readable format within 30 days
  • Correct inaccurate information directly through your account settings or by contacting us
  • Delete your account and associated data, with complete removal within 60 days
  • Restrict certain types of processing, like opting out of non-essential communications
  • Export your learning records and progress data to take to another platform
  • Object to specific uses of your data if they're not essential for service delivery
  • Withdraw consent for any processing that requires it, though this may limit service access

To exercise any of these rights, email us at help@cognizantenergy.com with "Data Request" in the subject line. We'll verify your identity and respond within 14 business days. There's no fee for these requests unless they're clearly excessive or repetitive.

If you're not satisfied with how we handle your request, you can file a complaint with South Korea's Personal Information Protection Commission. We'll provide contact details and guidance if you decide to go this route.

Security Measures

We take data security seriously because breaches aren't just inconvenient—they break trust. Our approach combines technical safeguards with careful operational practices:

  • All data transmission uses TLS encryption (the same technology banks use)
  • Passwords are hashed and salted, meaning we never see your actual password
  • Access to personal data is limited to essential staff members only
  • We conduct security audits twice yearly with independent reviewers
  • Server infrastructure uses firewalls and intrusion detection systems
  • Regular backups are encrypted and stored in separate secure locations
  • Staff undergo annual training on data protection and security protocols

But here's the reality: no system is 100% secure. If we ever experience a data breach affecting your information, we'll notify you within 72 hours and explain exactly what happened, what data was involved, and what steps we're taking. We'll also report it to relevant authorities as required by South Korean law.

International Data Transfers

We primarily operate within South Korea, but some of our service providers use servers in other countries. When data leaves South Korea, we ensure it receives equivalent protection through approved transfer mechanisms.

For example, our cloud hosting provider has data centers in Japan and Singapore. Both locations have been recognized by South Korean authorities as providing adequate data protection. We've also implemented additional contractual safeguards requiring these providers to maintain South Korean-level protections regardless of where servers are physically located.

If you're accessing our services from outside South Korea, your data may be transferred to and processed in South Korea. By using our services, you acknowledge this transfer.

Cookies and Tracking

We use minimal cookies—small files stored on your device that help the site function properly. Our approach is straightforward: essential cookies only, with optional ones requiring your consent.

  • Session cookies keep you logged in as you navigate between pages
  • Security cookies help prevent unauthorized access to your account
  • Preference cookies remember your settings like language or display options
  • Analytics cookies (optional) help us understand which content is most helpful

We don't use advertising cookies or share cookie data with ad networks. You can control cookie preferences through your browser settings, though disabling essential cookies will affect site functionality.

Children's Privacy

Our services are designed for adults interested in financial education. We don't knowingly collect information from anyone under 14 years old. If you're under 14, please don't create an account or submit personal information.

For users between 14 and 18, we require parental consent before creating an account. Parents can contact us at any time to review, modify, or delete their child's information.

If we discover we've accidentally collected data from someone under 14, we'll delete it immediately and notify the parents if we can identify them.

Changes to This Policy

We update this policy occasionally as our services evolve or regulations change. When we make significant changes, we'll notify active users by email at least 30 days before the new policy takes effect.

Minor updates (like clarifying existing practices or fixing typos) happen without notification, but we always update the "Last Updated" date at the top of this page. We recommend checking back every few months if you're an active user.

Previous versions of this policy are archived and available upon request if you want to see what changed over time.
